What’s the difference between notices and toolboxes?

Notices and toolboxes are both used to communicate important information to workers, but they serve different purposes and are used at different times.


Notices

A Notice is a daily or multi-day message shown to workers when they sign on to site.

Workers must acknowledge the notice before they can sign on.


When to Use a Notice

Use notices to:

  • Share daily site messages

  • Flag short-term risks or changes

  • Advise of deliveries, access changes, or site conditions

  • Communicate instructions workers must acknowledge


How Notices Work

  • You choose one day or a date range

  • Any worker signing on during that period will see the notice

  • Acknowledgement is mandatory to proceed with sign-on

  • All acknowledgements are tracked and recorded


Managing Notices

Once created, each notice shows:

  • Its status (upcoming, active, or completed)

  • A list of workers who acknowledged it

  • The date(s) it applied to

This provides a clear record of who saw and agreed to the notice.


Toolboxes

A Toolbox is a scheduled on-site meeting.

Toolboxes are used to:

  • Hold formal safety or project discussions

  • Notify workers in advance

  • Track attendance

  • Record what was discussed


How Toolboxes Work

When creating a toolbox, you:

  • Set a specific date and time

  • Choose a toolbox type

  • Add a high-level agenda

  • Select or invite attendees

Attendance is recorded when the meeting takes place.


Managing Toolbox Attendance

  • Workers who attend can be marked as present

  • Attendance acts as the acknowledgement

  • Workers who arrive late or were not invited can scan a QR code to add themselves


Recording Toolbox Notes

  • Notes can be added to document what was discussed

  • Notes can be shared with attendees

  • Finalised toolboxes provide a record of:

    • Attendees

    • Discussion points

    • Date and time
