Toolbox Statuses: Draft vs Sent
Toolboxes now have clearer statuses so you can easily see where each session is up to.
Draft
A toolbox in Draft has been created but not sent to workers.
You can still open, edit, and even run a toolbox while it is in draft.
Drafts are useful when you want to prepare a toolbox ahead of time or capture notes before notifying workers.
Sent
A toolbox marked as Sent means invitations or acknowledgements have been sent to workers.
This makes it easy to confirm which toolboxes have already been communicated.
Scheduling a Toolbox
When creating a toolbox, you now have more flexibility before sending it out.
To schedule a toolbox:
Click Schedule Toolbox
Select the toolbox type
Add the agenda and any relevant details
Choose whether to save as a draft or send it immediately
Saving as a draft allows you to finalise details later without notifying workers prematurely.
Running a Toolbox in Draft Mode
You can now run a toolbox even while it is still in draft.
This is useful when:
The toolbox occurs informally on site
You want to capture notes and attendance first
You plan to send it later for worker acknowledgement
Once saved, the toolbox can still be sent to workers for acknowledgement after the session.
Notice Messages for Toolboxes
Toolboxes can now include a notice message that workers must acknowledge.
This allows you to:
Highlight important information related to the toolbox
Require workers to acknowledge the message
Set a timeframe for acknowledgement (for example, within 24 hours or 2 days)
This is especially useful when the toolbox includes critical safety or operational updates.
Attendance Improvements
Attendance tracking has been streamlined:
Attendance can be marked during or after running a toolbox
Workers who were not originally invited can add themselves by scanning the toolbox QR code
Attendance updates are reflected in real time
