How do I add an attendee to a toolbox that wasn’t originally invited?

Add late or missed attendees to a toolbox using QR code attendance.

If a worker attends a toolbox but wasn’t originally invited, BuildPass allows them to be added to the attendance record after the toolbox has been run.


When This Is Useful

  • A worker arrived late to the toolbox

  • Someone attended but wasn’t on the invite list

  • You forgot to include a worker when distributing the toolbox


How to Add an Attendee After the Toolbox

Step 1: Open the Toolbox

  • Log in to BuildPass.

  • Select the relevant project.

  • Navigate to Toolboxes.

  • Open the toolbox that has already been run.


Step 2: Save the Toolbox

  • Ensure the toolbox has been saved.

  • Once saved, a QR code will be generated for that toolbox.


Step 3: Have the Worker Scan the QR Code

  • Ask the worker to scan the toolbox QR code.

  • Scanning the QR code will:

    • Add them to the attendance list

    • Record their participation

    • Send them the toolbox summary

This works even if the worker was not originally invited.


Alternative: Share the QR Code

If the worker can’t scan the code directly:

  • Copy the QR code link, or

  • Download and share the QR code image

Once scanned, the worker will be added automatically.


Reviewing Attendance

After the attendee is added:

  • Open the toolbox to view the updated attendance list

  • Review notes, attachments, and activity

  • You can upload additional files or notes even after the toolbox is complete


This ensures your toolbox attendance records remain accurate, even when plans change on site.
