Site Diary Overview

The Site Diary is your daily record of activities, events, and observations on site. It provides a clear and accurate account of what happened each day on your construction project.

Only users with BuildPass Admin access—including Owners, Managers, and Project Managers—can view and update Site Diaries.

Maintaining a Site Diary helps you:

  • Track daily site activities accurately

  • Create a reliable historical record

  • Support dispute resolution, claims, and legal matters if required


How to Access the Site Diary

  1. Ensure the correct project is selected using the project dropdown in the top-left corner.

  2. Navigate to Site management and select Site Diaries.


Create a Site Diary for Today

You can create today’s Site Diary in two ways:

Option 1: From the Site Diary Module

  • Click Create Today’s on the left-hand side of the page.

Option 2: From Anywhere in BuildPass

  • Click New at the top of the page.

  • Select Create Site Diary from the dropdown menu.


Create a Site Diary for Another Date

  1. Click the three dots (More) option.

  2. Select Create a Site Diary for Any Date.

  3. Choose the required date when prompted.


Fill in Site Diary Details

After selecting the diary date, complete the relevant sections. Most Site Diaries allow you to record:

  • Weather conditions for the day

  • Inclement weather that may have caused delays

  • Attendance (including manual additions if required)

  • A general description of works completed

  • Photos documenting site progress


Upload Photos and Documents

Uploading photos and documents captured on site helps create a detailed and reliable record of work completed and builds a comprehensive Photo Gallery.

To upload files:

  1. Click Upload and select the images or documents.

  2. Click Save to confirm your changes.


Access and Manage Past Site Diaries

You can view previous Site Diaries at any time by returning to the Site Diary module.

  • Diaries can be sorted by date (newest to oldest)

  • Switch to calendar view for an alternative way to browse entries
