How do I request documents from a subcontractor?

Step 1: Log In to Your BuildPass Account

  • Start by logging in to your BuildPass account. Make sure you have the necessary permissions to request documents from subcontractors.

Step 2: Access Your Home page

  • After logging in, navigate to the home page This should be the main dashboard where you manage your project.

Step 3: Go to Companies Section

  • Within your home page, find the "Subcontractors" section. It's usually listed in the menu or on the page.

Step 4: Manage Subcontractors

  • In the Subcontractors section, look for an option that says "Assign/Remove" or something similar. Click on it to manage your subcontractors.

Step 5: Add Subcontractor (if necessary)

  • If the subcontractor you want to request documents from is not already listed, add them to your project. Click on "Add" or a similar option and save your changes.

Step 6: Invite the Subcontractor

  • Find the subcontractor you want to request documents from. You should see an "Invite" button next to their name. Click on it.

Step 7: Specify Document Requests The documentation requirements during invitations can be tailored based on the project's needs, offering more flexibility for customization.

  • A window or form will appear where you can specify the documents you require from the subcontractor. In this example, you can ask for documents like SWMS, Insurances, and SDS.

  • Collecting insurance documents is optional in BuildPass. If your business already manages insurance records through another platform, you can choose not to request them here. This flexibility allows you to align with your operational requirements.

Step 8: Request SWMS and Insurances

  • Check the boxes next to "SWMS" and "Insurances" to indicate that you are requesting these documents. Make sure you have the correct document requirements selected.

  • If your project's focus is exclusively on SWMS or other documentation, you can choose to leave the "Insurances" checkbox unselected during this step. This ensures the process aligns with your specific requirements.

Step 9: Send the Document Request

  • If you need to request more documents or updates, return to the subcontractor's profile, click "Request Documents," and select the specific documents you need.

Step 11: Confirm Document Requests Sent

  • Verify that the document requests have been successfully sent to the subcontractor. You should receive confirmation messages for each request.
