How to Request SWMS from a Company

Use this guide to request a Safe Work Method Statement (SWMS) from a subcontractor or trade on your project.

Step 1 - Open Your Project

  1. Log in to your BuildPass account.

  2. From your dashboard, open the relevant project.

Step 2 - Navigate to Companies

  1. In the left-hand menu, click Companies.

  2. Select On This Project to view subcontractors and trades already assigned to the project.

Step 3 - Add the Company (if needed)

If the subcontractor isn't already on the project, you'll need to add them before requesting a SWMS.

  1. Click Add or Invite Company.

  2. Enter the company's details and confirm to add them to the project.

Step 4 - Request a SWMS

  1. Locate the subcontractor you want to request a SWMS from.

  2. Click the three dots (β‹―) next to their name.

  3. Select Request Documents.

  4. Ensure SWMS is toggled on. Toggle off Insurances or SDS if those documents aren't required.

  5. Optionally, add a custom message with any specific instructions - for example: "Please upload a SWMS that includes working at heights, as this is applicable to your scope of work."

  6. Click Send. The subcontractor will receive an email with a link to upload their SWMS directly to BuildPass.

Step 5 - Review the Submitted SWMS

  1. Once the subcontractor submits their SWMS, it will appear under the SWMS section of your project.

  2. Open the document and update its status to Reviewed or Changes Requested as appropriate.
