How to upload documents to a BuildPass project as a company

Subcontractors can upload requested documents without having an account.

If you've been invited to a BuildPass project by a builder, you'll receive an email asking you to upload documents, such as a SWMS and insurance, before work begins. This guide walks you through what to expect and how to submit your document.

Why builders request documents through BuildPass

Builders use BuildPass to manage compliance across their projects. When you're invited to a project, they may ask you to submit key documents like a SWMS and proof of insurance. Uploading these through BuildPass ensures everything is in one place and the builder can review and approve your documents quickly.

Step 1 — Open the invite link

When the builder invites you to the project, you'll receive an email with a link. Open the link, you'll be taken directly to the document upload page for that project.

Step 2 — Upload your SWMS

On the document upload page, you'll see a request to provide a SWMS for the project. You have two options:

  • Use the SWMS Builder — Select Use SWMS Builder to create a SWMS using one of the 28 BuildPass-provided templates. This is a good option if you don't have an existing SWMS for this type of work.

  • Upload your own SWMS — If you have a completed, project-specific SWMS ready, select Upload and attach your file.

Step 3 — Confirm your SWMS

Once your SWMS has been uploaded or completed, tick the confirmation boxes to acknowledge the document is accurate and project-specific.

Step 4 — Upload your insurances

Scroll down to the insurance section. Attach your insurance certificates and select the expiry date for each one.

Step 5 — Submit your documents

Once all documents have been uploaded and confirmed, select Submit Documents. Your submission will be sent directly to the builder who invited you to the project.
