Managing workflows in BuildPass

View, update, publish, and archive workflows throughout their lifecycle.

Once a workflow has been created, BuildPass provides tools to manage it over time. This includes editing drafts, reviewing workflow runs, publishing updates, and archiving workflows when they are no longer required.


Viewing Existing Workflows

  1. Navigate to Workflows.

  2. Select Configure workflows.

This screen displays:

  • All workflows you’ve created

  • Their current status (draft, active, or archived)


Draft, Published, and Archived States

Workflows move through the following states:

  • Draft

    • Saved but not running

    • Safe to edit without triggering actions

  • Published & Active

    • Workflow is live and running

    • Triggers and schedules are enabled

  • Archived

    • Workflow is disabled and no longer runs

    • Archived workflows are kept for reference


Editing a Workflow

  • Open the workflow from the list.

  • Make changes to triggers, logic blocks, or actions.

  • Save your changes.

  • Publish the workflow again to apply updates.

Changes do not take effect until the workflow is published and activated.


Viewing Workflow Runs

You can review how a workflow has executed over time.

  • Open the workflow.

  • Click the vertical ellipsis.

  • Select View runs.

This allows you to:

  • Confirm workflows are running as expected

  • Troubleshoot issues

  • Review execution history


Version History

Each time a workflow is updated and published, a new version is created.

  • Open the workflow.

  • Click the vertical ellipsis.

  • View Version history to see previous versions.

Version history helps with:

  • Tracking changes

  • Understanding updates over time

  • Auditing workflow behaviour


Beautifying the Workflow Layout

  • Use Beautify layout to automatically organise workflow blocks.

  • This improves readability, especially for complex workflows.


Archiving a Workflow

When a workflow is no longer needed:

  1. Open the workflow.

  2. Click the vertical ellipsis.

  3. Select Archive.

Archived workflows:

  • Stop running immediately

  • Remain available for reference

  • Can be reviewed but not triggered


Best Practices

  • Keep drafts for testing and iteration

  • Review workflow runs after activation

  • Archive unused workflows to reduce clutter

  • Use clear naming conventions for workflows
