How do I set up rotating QR codes for my project?

Restrict site access by automatically or manually rotating QR codes throughout your project.

What Are Rotating QR Codes?

Rotating QR codes add an extra layer of control over who can sign on or induct on site. When enabled, the QR code used to access your project will change automatically or require a manual access code, ensuring only authorised people can proceed.

This is commonly used on sites where:

  • Attendance needs to be tightly controlled

  • Workers are paid by the hour

  • Accurate sign-on reporting is required


Setting Up Rotating QR Codes

Step 1: Open Project Settings

  • Log in to BuildPass.

  • Select the relevant project.

  • From Home, click Edit on Project Details.

If you don’t see the rotating QR code option, this feature may not be enabled on your account.


Step 2: Enable Rotating QR Codes

  • Scroll to find Enable Rotating QR Codes.

  • Turn the setting on.


Step 3: Choose a Rotation Method

You can choose one of the following options:

Automatic Rotation

  • The system generates a new QR code or access code automatically

  • Choose how often it rotates (for example, every 5 minutes or every 2 days)

Manual Rotation

  • You set a 6-digit code manually

  • Update the code whenever required


Step 4: Add a Custom Message (Optional)

  • Enter a message shown to workers if they need help

  • For example, instructing them to speak with the site manager to get the current code


Step 5: Save Your Settings

  • Click Save to apply the changes

Once saved, the current QR code and access code will appear on your project dashboard.


Using Rotating QR Codes on Site

QR Code Posters

  • Downloading a QR poster will show the current QR code at that point in time

  • If the QR code rotates after downloading, that poster will become invalid


QR Code Kiosk Mode

To avoid reprinting posters:

  • Use QR code kiosk mode

  • Display the live QR code on a monitor, tablet, or device left on site

  • This always shows the current valid QR code


Manual Code Sharing

If a worker can’t access the QR code:

  • Provide them with the current 6-digit access code

  • They can enter this code manually to continue


Worker Experience with Rotating QR Codes

When a worker attempts to sign on or induct:

  • If the QR code has rotated since their last validation, they’ll be prompted to:

    • Scan the latest QR code, or

    • Enter the current 6-digit access code

  • Once validated, the worker will have access to the project for up to 12 hours without needing to re-scan or re-enter a code

This experience is the same on both the web and mobile app.
